Who it's for
- Local service businesses: salons, groomers, cleaners, trades, auto, fitness, clinics. Anyone whose customers should come back every few weeks or months.
- Shops: independent retail, cafés, online shops with regulars who stopped ordering.
- Small B2B: agencies, suppliers, consultants, and IT/service providers with accounts that went quiet or are coming up for renewal.
Not for: cold outreach to strangers, or big companies with a customer-success team and software already doing this.
The problem
You already paid to win those customers. Then some of them just... stopped. No complaint, no goodbye. They got busy, tried someone else, or had one bad visit and didn't say anything.
You know you should reach out. But what do you say that doesn't sound needy? When? How many times? And who has time to write it all from scratch?
So it doesn't happen, and good customers quietly drift away.
The fix
A simple, human system you can run in 10 minutes a week:
- Spot who's slipping with a 10-point at-risk checklist and the "1.5x your normal gap" rule.
- Reach out the right way with a 30-day plan: email → text → call → email → offer → last note.
- Know what to say with 25 ready-to-use messages, including what to say when they reply "too expensive" or "I went elsewhere."
- Keep score with a one-page tracker so you know who's due, who replied, and who came back.
Written from real Account Manager experience at a SaaS marketplace, where keeping customers and winning the next order was the whole job, then rewritten in plain English for small businesses.
What's inside
- Start here: your first 60 minutes. A step-by-step setup.
- At-risk & lapsed checklist. How to find your normal buying gap, 10 warning signs, and who not to contact.
- The 30-day win-back plan. Day-by-day: which message, which channel, when to stop.
- 12 email templates. Past customer, cancelled customer, quiet B2B account, old quote, "time for your next one" reminder, welcome-back offer, last note, thank-you, repeat-sale and referral. Each one comes with subject line options.
- 4 call scripts. Win-back call, 30-second voicemail, at-risk save call, and renewal call for B2B.
- 5 text/DM messages. Short, human, signed with your name.
- 4 reply scripts. "I've been busy," "too expensive," "went elsewhere," "bad experience."
- 10-minute weekly routine so customers don't lapse in the first place.
- Tracker spreadsheet (CSV) that opens in Google Sheets, Excel or Numbers.
- Plain-English email rules note (CASL / CAN-SPAM basics; not legal advice).

E1. Past customer, first check-in (Day 0) Subject: [First name], shall I save a spot for you?
Hi [First name],
It's been about [time] since we last [did your service], and I was looking back at my notes: [one real detail, e.g. "the back fence section and the tricky gate latch"].
We have openings on [day] and [day] next week. Would you like me to hold one for you?
If you're all set, just reply "all set" and I won't follow up.

Why it works: one real detail shows you remember them, there's one easy question to answer, and they can say no in two words.
FAQ
Do I need special software? No. Your normal email, phone, and a spreadsheet are enough. If you use Mailchimp, Square, Jobber, HubSpot or similar, you can paste the templates in.
How long does it take to set up? The kit is designed so that setup takes about an hour: find your normal gap, list your lapsed customers, personalize the first email for your top 10.
Will this work for my type of business? It's written for businesses where customers buy more than once: services, shops and small B2B. If your customers buy only once in a lifetime (e.g. a wedding venue), it's mostly not for you. The old-quote and referral templates may still help.
Is it OK to email past customers? Usually, if they bought from you recently and you include your address and an easy opt-out. The kit includes a plain-English note on Canada's CASL and the US CAN-SPAM rules, but it isn't legal advice. Check the rules where you are.
Isn't this just generic email templates? No. Most template packs are written for newsletter lists. This one is for customers: it includes phone and text scripts, what to say when they reply, and a day-by-day plan.
What format is it? A PDF and an editable text (markdown) file, plus a CSV tracker. Instant download.
Can I share it with my staff? Yes, use it inside your own business. Please don't resell or redistribute it.
Your past customers already know you. Give them a reason to come back.
